The G&A department of a multinational company with an office in Dubai (United Arab Emirates) is seeking an order administrative specialist.

The Order Admin Specialist will manage the complete order cycle for orders received from customers (including internal customers) within the Business Unit. To progress an order through to invoicing and to include maintenance, ensuring that the status is monitored, and any problems are dealt with and the customer kept informed at all times. To manage annual maintenance renewals. To provide a contact point for customer order related issues.

Within this role, you will work on either orders, projects or maintenance tasks, with the below key responsibilities:

  • To provide liaison/co-ordination between sales/customer and to act as a point of contact for customers on all aspects of the order cycle

  • To monitor and identify, as part of the cycle, delays in completion to ensure timely billing of systems orders, and to liaise with appropriate personnel to solve any problems. To ensure the customer is kept informed of delays or partial shipments etc.

  • To raise invoices and post to general ledger providing necessary supporting documentation

  • Accurate & timely invoicing providing necessary supporting documents

Order/Project

  • To identify and review purchase orders and identify / complete PPM’s Order processing compliance steps, also the possibility of new maintenance busines

  • To manage the order cycle, by processing incoming orders in a timely manner, liaising with Parent Company where necessary for delivery details or changes to order requirements to ensure both Intergraph’s and the customers objectives are achieved

  • To liaise with suppliers in ordering 3rd party products and liaising with freight forwarding agents with delivery instructions

  • To ensure that at all times the designated business units sales account managers are kept aware of progress or any difficulties being experienced by the customer, which need to be resolved in respect of the order cycle

  • To ensure filing is maintained in a timely manner and all correspondence pertaining to an order is correctly filed within the system

  • To be conversant with Intergraph PPM product range at a level to be able to answer general order/sales enquiries

Maintenance

  • Raise the maintenance contract accordingly and invoice in a timely manner

  • Efficiently manage annual maintenance renewals including pricing adjustments within the agreed timescales

Licences

  • To deal with low level technical issues on behalf of the business units sales account managers, using internal support from Hexagon PPM technical staff

  • To set up and issue licence keys to the customer

  • Excellent numerical, analytical and problem-solving skills

  • Experience in using ERP systems like Dynamics GP (Great Plains) or similar accounting package, with the confidence to use multiple systems during the complete order cycle

  • Organised and detail-orientated, with good computer skills, including a working knowledge of Word and Excel, version 2013 onwards is desirable

  • Effective communication skills including verbal, written and presentation

  • Ability to work in a fast-paced corporate environment and work to tight deadlines

  • Ability to work on your own initiative and as part of a team for the North-West Europe region, working with overseas customers and staff

  • Proactive nature with strong multi-tasking and organisational skills

  • Strong administration skills

  • Ambitious, confident and willing to demonstrate initiative and responsibility

  • Able to develop good interpersonal working relationships

University qualification (or similar level in experience)

Experience required:

  • Expereince in a similar position in a multinational company

  • Good knowledge of Office pack and most usual ERP

  • Experience in invoicing and customer service

  • Basic knowledge of accounting

Skills:

  • Fluent in English essential, Arabic is advantageous

  • Extremely organized and detail-oriented with a strong commitment to accuracy

  • Autonomous and proactive

  • Strong team player

  • Enthusiastic, self-motivated, effective under pressure and flexible

  • Effective communicator
